Sales pipeline management and client meetings
A pipeline isn't a list of deals. It's a revenue management tool. A healthy pipeline has a dated next step on every deal, regular reviews and clear prioritization criteria. A deal without a next step is a risk to predictability.
The stages of a sales pipeline
- Lead generation: companies and contacts that match your ideal customer profile (ICP).
- Qualification: fit, based on need, budget potential, decision authority and buying timing.
- Discovery: a deep look at current processes, pain points and opportunities.
- Solution presentation: built from what discovery revealed. Not a tour of every feature, but a focus on what solves this customer's problem.
- Negotiation: commercial terms, expectations, investment, scope and objections.
- Closing: the decision made formal.
- Onboarding and growth: implementation, adoption, tracking results and new opportunities.
How to keep the pipeline healthy
- Keep each deal's stage up to date.
- Log every relevant interaction.
- Set a next step and a follow-up date for every deal.
- Watch deals with no movement.
- Assess the probability of closing.
- Record the reason for every loss.
- Review the pipeline regularly.
How to prioritize deals
Not every deal deserves the same attention. Weigh revenue potential, ICP fit, urgency, likelihood to close, complexity, engagement level and time in negotiation.
A useful adaptation is the RICE matrix (Reach, Impact, Confidence, Effort). It was built to prioritize product initiatives, but the logic carries over to sales: how far the deal reaches, how much it matters, how confident you are and how much effort it takes.
Client meeting checklist
Before
- Research the company and the attendees.
- Read the interaction history.
- Define the goal and the expected outcome.
- Prepare questions and anticipate objections.
During
- Open by aligning expectations and the meeting's goal.
- Explore the current situation and listen actively.
- Present solutions in the context of what you heard.
- Confirm agreements and lock in next steps.
After
- Update the CRM with what you learned.
- Send a recap with owners and deadlines.
- Book the next touchpoint.
Pipeline review script
A pipeline review exists to turn information into decisions. Seven questions are enough:
- Which deals moved forward?
- Which are stalled?
- Which are most likely to close?
- Are any deals at risk?
- What are the main obstacles?
- What actions must happen in the next few days?
- Is there an expansion opportunity?
